What we collect, what we don't.

What we collect
- What you tell us in the contact form. Your name, business name, email, optional phone, and the note you write about what you'd like to fix.
- What you tell our chatbot (Octo). The conversation you have with Octo on this site, including any name, contact info, business details, and service interest you share. Octo is an AI assistant running on our CRM platform, GoHighLevel. Its Conversation AI generates the replies, and your conversation is stored there so the team can follow up.
- Anonymous analytics. Pages you view, how you got here, the device and browser you're using. Collected via Google Analytics. No login, no name, no behavior tracking across other sites.
- If you book a call. The time you pick on Calendly. Calendly collects standard scheduling info. Name, email, time zone.
How we use it
- Reply to your inquiry and prepare for a call with you.
- Send you the follow-ups you'd reasonably expect (a summary, a written plan).
- Make the site better. Figure out which pages help and which don't.
- Improve Octo over time. The conversation patterns help us write better prompts. We never train any external AI model on your messages.
Who we share it with
We don't sell your data. Ever. We use a small list of service providers to actually run the business. Each one only gets what they need:
- Vercel. Hosts this website.
- GoHighLevel (LeadConnector). Our CRM and messaging platform. It runs the Octo chatbot and its AI replies, stores your lead record and conversation history, sends our follow-up texts and emails, and powers booking. This is where your information mainly lives.
- Mailgun. Delivers the emails GoHighLevel sends on our behalf.
- Resend. Sends the team an internal notification when a new contact-form lead comes in.
- Calendly. Booking your call. Collects standard scheduling info. Name, email, time zone.
- Google Analytics 4 and Google Tag Manager. Anonymous traffic measurement and tag management.
- Meta (Facebook) Pixel. Measures which visits and bookings came from our ads. This shares limited event data with Meta.
We may also share your information if required by law, or to investigate fraud or abuse.
Cookies
We use a session cookie for the chatbot so your conversation persists if you reload, and Google Analytics cookies for anonymous traffic measurement. We also use advertising and measurement cookies from Google and Meta to see which ads bring people to the site. You can decline the analytics and advertising cookies from the consent banner, and we honor that choice.
Your rights
You can ask us to:
- Show you everything we have about you
- Correct anything that's wrong
- Delete it all
- Stop emailing you
Email hello@octosona.ai and we'll handle it within a few business days. No forms, no escalation chain.
Children
This is a business-to-business service. We don't knowingly collect information from anyone under 16.
Changes to this page
If we change how we handle data in a meaningful way, we'll update the date at the top and, if it affects you specifically, email you.
